Terms of Service
About these Terms
These Terms of Service ("Terms") govern your access to and use of the Admin Restaurant Intelligence platform, together with its websites, applications, and related services (the "Platform"). This platform is operated under the trading name Admin Restaurant Intelligence ("we", "us", "our"). The operating company is in the process of incorporation in England and Wales; the company registration number and registered office address will be published here once available.
By registering for an account, activating a trial, purchasing a subscription, or otherwise using the Platform, you agree to be bound by these Terms and by our Privacy Policy. If you do not agree, you must not use the Platform.
1. Definitions
- "Restaurant Account" means a tenant workspace created for a single restaurant business.
- "Owner" means the individual who registers and controls a Restaurant Account.
- "Authorised User" means any manager, staff member, or other person the Owner invites to a Restaurant Account.
- "Subscription" means a paid plan giving access to the Platform's features.
- "Content" means data, text, files, and materials submitted to or generated within the Platform.
2. Eligibility
You must be at least 18 years old and have the authority to enter into a binding contract on behalf of the business you represent. The Platform is intended for use by hospitality businesses and their personnel.
3. Account registration
To use most features you must create an account and provide accurate, current, and complete information. Self-registration creates a new Restaurant Account with you as the Owner. You are responsible for keeping your information up to date. Accounts may also be created for you via a referral or by an authorised salesperson.
4. Account security
You are responsible for safeguarding your login credentials and for all activity that occurs under your account. You must not share your credentials, and you must notify us immediately at welcome@adminrestaurantintelligence.co.uk of any unauthorised use or suspected security breach. We are not liable for losses arising from your failure to keep your credentials secure.
5. Subscription plans
Access to the Platform's core features requires an active Subscription. The current plan is Premium at £350 per month (GBP), billed monthly and including unlimited staff, the Training Academy, Checklists, Rotas, Attendance, Payroll features, Analytics, Messaging, and the Admin Intelligence Coach. We may introduce, change, or retire plans; where a change affects your existing plan we will give reasonable notice.
6. Billing through Stripe
Payments are processed by Stripe. By subscribing you authorise us, via Stripe, to charge the applicable fees to your chosen payment method. You are responsible for providing valid payment details and for all taxes associated with your Subscription. We do not store your full card details; these are handled by Stripe under its own terms.
7. Renewals
Subscriptions renew automatically each month on your billing date until cancelled. By subscribing you authorise recurring monthly charges until you cancel. If a payment fails, Stripe may automatically retry; during this period we may keep your access active while payment is attempted.
8. Cancellation
You may cancel your Subscription at any time from the Billing area of the Platform. Your access continues until the end of the current paid billing period, after which no further charges will be taken unless you subscribe again.
9. Refunds
Except where required by law, fees are non-refundable. We do not provide refunds or credits for partial billing periods, unused features, or periods during which your account remained active. Full details are set out in our Refund & Cancellation Policy.
10. User responsibilities
You agree to use the Platform only for lawful business purposes and in compliance with these Terms, our Acceptable Use Policy, and all applicable laws — including employment, payroll, data protection, and food-safety regulations that apply to your business. You are solely responsible for the accuracy of the Content you submit and for your operational decisions.
11. Acceptable use
Your use of the Platform is subject to our Acceptable Use Policy, which is incorporated into these Terms by reference.
12. AI functionality
The Platform includes AI features, including the Admin Intelligence Coach. AI output is provided for guidance and convenience only, may be inaccurate or incomplete, and does not constitute professional advice. Your use of AI features is subject to our AI Terms & Disclaimer.
13. Intellectual property
All software, source code, branding, AI systems, interface designs, documentation, training and academy materials, graphics, and other Platform content are owned by Admin Restaurant Intelligence or its licensors and are protected by intellectual property laws. We grant you a limited, non-exclusive, non-transferable, revocable licence to access and use the Platform for your internal business purposes for the duration of your Subscription. You must not copy, redistribute, reverse engineer, or reproduce any part of the Platform without our prior written permission.
14. Ownership of your data
As between you and us, you retain all rights in the Content you submit ("Customer Data"). You grant us a licence to host, process, and use Customer Data solely to provide and improve the Platform, to provide support, and as described in our Privacy Policy. You are responsible for having the necessary rights and lawful basis to submit Customer Data, including personal data relating to your staff.
15. Confidentiality
Each party may receive confidential information of the other. Both parties agree to protect such information and use it only as necessary to perform under these Terms, except where disclosure is required by law.
16. Availability of the service
We aim to keep the Platform available and reliable, but we do not guarantee uninterrupted or error-free operation. The Platform is provided "as is" and "as available" to the fullest extent permitted by law.
17. Service interruptions
We may suspend or restrict access for maintenance, upgrades, security, or where required by law or by a supplier. We will use reasonable efforts to minimise disruption and, where practicable, to give notice of planned downtime.
18. Limitation of liability
To the fullest extent permitted by law, we are not liable for any indirect, incidental, special, or consequential loss, or for loss of profits, revenue, goodwill, or data. Our total aggregate liability arising out of or in connection with the Platform is limited to the fees you paid to us in the twelve (12) months preceding the event giving rise to the claim. Nothing in these Terms excludes liability that cannot be excluded under applicable law.
19. Indemnity
You agree to indemnify and hold us harmless from claims, losses, and expenses (including reasonable legal fees) arising from your Content, your use of the Platform, or your breach of these Terms or applicable law.
20. Account suspension
We may suspend your account or restrict access where we reasonably believe you have breached these Terms or the Acceptable Use Policy, where payment is overdue, or where necessary to protect the Platform, other customers, or third parties.
21. Termination
You may terminate by cancelling your Subscription and ceasing use of the Platform. We may terminate or suspend your access for material breach. On termination, your right to use the Platform ends. We may delete Customer Data after a reasonable retention period as described in our Privacy Policy; please export any data you wish to keep before termination.
22. Changes to these Terms
We may update these Terms from time to time. When we publish a material change, we will update the version and, where required, ask you to accept the updated Terms before continuing to use the Platform.
23. Governing law
These Terms and any dispute arising out of them are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
